Who gets notified about what...and when?

CoConstruct sends a variety of updates, alerts, and summary notifications to all three user types, based on the page or item that generated the alert. Here are the kinds of alerts that are sent to each user type:

Instant Alerts

These notifications are controlled by each user from the Personal Settings page and are sent by the system right away. 

1. Builders Can receive alerts for:

  • comments
  • messages
  • questions
  • when a selection choice is made
  • when a partner uploads a file
  • when a client submits a warranty request
  • when a change order is updated

2. Clients - Can receive alerts for:

  • new comments
  • messages
  • when a question is answered
  • when a Selection choice is made (by the builder)
  • when a change order is updated
  • when a new invoice is issued
  • when files and photos are shared

3. Partners - Can receive alerts for:

  • new comments
  • when a change order is approved or voided (if you've picked the partner's name in the "Notifications" section of the document)

 

Individual Work Requests

These go to builders and partners for:

  • schedule tasks
  • to-do items
  • warranty items

A notification will also be sent if:

  • the task assignment is altered, such as changes in assignment dates changed
  • the task is deleted or reassigned

Individual Work Requests will include access to any notes and/or files linked to the task assignment.

1. Builders - Builders control this on their Personal Settings page. Individual requests are sent within minutes of the task being created and assigned.

2. Partners - Individual notifications work the exact same way for partners and builders, but the builder is in charge of controlling this setting for each partner from the Partner Details page. This way the partner cannot turn this on/off without the builder knowing. The Partner can disable his receipt of comments, however, by logging into the website and going to his Personal Settings page.

Clients do not receive task notifications since clients cannot be assigned to an item on the to-do list, warranty list, or schedule.

Task Summaries

These task summaries are sent by the system early each morning at 6 AM local time, unless you request us to change it to something else. Summary emails state if there are any files or notes associated with a task, but unlike the individual work request emails, users will need to log in to the system to view the documents.

1. Builders - Builders control this on their Personal Settings page. The builder may choose to receive a Task Summary report daily or just on specified days, which lists out his/her open tasks.

2. Partners - Builders control this for the partner from the Partner Details page. The summary can be sent daily or just on specified days.

Project Summaries

These summaries are controlled by each user from the Personal Settings page and are sent by the system early each morning.

1. Builders - This email lists all of the same items that cause your main menu to "light up." That includes:

  • all updated, overdue, and upcoming Selection items
  • any change orders that need approving or have been approved or declined
  • upcoming and overdue Schedule Tasks, Warranty and To Do Items
  • files uploaded by clients or partners

The builder can select this summary for all projects, some, or none. You can see the same content online by running the Summary Report for an individual project.

2. Clients - Similar to builder users, this reflects what "lights up" on the clients' main menu. That includes:

  • all updated, overdue and upcoming selection items
  • any change orders they need to approve or have been approved or declined
  • new messages
  • updated questions
  • builder’s to-do items
  • warranty items
  • project photos and files


Trade Partners do not receive project summary reports.
